Job Description

This position provides administrative support to the leaders of the Purchasing department in living up to our Mission Statement.  Project/tasks include but are not limited to providing support to all Purchasing functions i.e.; facilitating follow up, contacting vendors, coordinating meetings, etc.  Must possess the ability to multi-task, take on special projects, strong written and verbal communication skills and the ability to maintain confidential information and a positive attitude.  A self-starter with the ability to see and act on opportunities to lend a hand without specific instruction is essential to success.

Key Areas of Responsibility:

  • Be a key contact for our stores and other departments in routing incoming requests
  • Maintain Buyers by Category list and regularly publish it for the company to access
  • Route incoming new vendor requests to the appropriate buyer
  • Answer, screen, prioritize, and transfer inbound phone calls, especially new vendor calls
  • Maintain calendars to coordinate workflow and meetings
  • Maintain appropriate purchasing procedure documentation
  • Build strong relationships with our stores, vendors & home office
  • Build a general competency in our ERP system to allow for building SKUs, sending orders, order follow up, etc. to assist in supporting our Purchasing Assistants
  • Data Entry as needed
  • Other responsibilities as called upon

Experience and Skills

  • Strong knowledge of Microsoft Excel, PowerPoint, Word and Outlook
  • Excellent written and verbal communication skills
  • Proficiency in Internet research
  • Detail Oriented
  • Proven Organizational Skills
  • Ability to multitask
  • Composition skills
  • Perform without close supervision
  • Knowledge of office equipment including fax machine, printers, copiers, scanners, etc.
  • Other support duties as needed 

Physical Demands:

  • Sitting for long periods of time
  • Repetitive wrist movements on keyboard
