Summary of Position:

The Office Operations Manager role offers high-level business operations and communications assistance to all Prospera programs and services, including business development grants, loan funding, professional trainings, and program events.

This dynamic role serves as the organization's information "hub," acting as the first point of contact and customer service representative for Prospera office visitors, phone calls, and email correspondence. Additionally, this role offers executive and administrative support to the Executive Director and Finance Director on special initiatives and to ensure the smooth running of the office.

Competencies & Qualifications:

  • Two years of office or program management experience, particularly in the nonprofit sector, including business operations, marketing, and communications. A college degree is preferred, as is employment experience.
  • Takes pleasure in assisting numerous staff programs and assisting business clients with navigating Prospera's offerings.
  • Capacity to handle special projects to completion critical to office operations.
  • Advanced computer literacy, proficiency with Microsoft Office Suite and databases is required.
  • Demonstrated proficiency in the effective running of businesses, project management, and business communications.
  • Preferable experience with QuickBooks and/or donor databases. 


Responsibilities and Duties:

OPERATIONS OF THE OFFICE AND ADMINISTRATIVE SUPPORT 

As the principal contact for walk-in, telephone, and email questions, you will contribute to the organization's professional reputation.

Ensure that office operations run smoothly and efficiently for workers and vendors, including welcoming visitors, purchasing office supplies, maintaining office equipment, and troubleshooting technology. 

Assist the Finance Director with weekly bank deposits, accounts receivable and membership billings, electronic deposits, filing, and any other assistance that may be required. 

Implement all operational processes and procedures as specified, including the administration of website domains and email registrations, as well as the renewal and maintenance of other critical office services/systems. 

Assist with the upkeep of the donor database for client information, sponsors/donations, membership renewals, and other operations.

Assist with IT and phone system assistance.

SUPPORT FOR PROGRAMS

Client onboarding and intake coordination, facilitation of access to company resources, data input, and assisting clients in signing up for and paying for trainings and classes.

Take minutes of Board of Director meetings in writing. Coordination and support of Board meetings, including procuring venues, speakers, refreshments, and other necessary preparations.

Assist Prospera's Business Center with logistics and supplies.

Assist the Finance Director with bookkeeping/data entry, filing, and administrative tasks.

Functions:

Support MT Photonics' business cluster membership initiatives via a website and database.

As required, industry and other industry groupings.

Assist the Executive Director/Finance Director with specific initiatives.

EVENTS

Assist with the establishment of professional development and networking activities for Prospera and Montana WBC members.

Attend big Prospera events to assist with registration and assistance. This includes a portion of the evenings.

Manage and manage online registrations for Prospera and WBC events, as well as confirming that sufficient payment has been received and that registration lists are accurate.

MARKETING AND COMMUNICATIONS ON THE INTERNET

Assist with the maintenance of Prospera's website and its content, as well as collaborate with other program personnel to update website information.

Assist with communications, including email (Constant Contact) and social media.

Work Environment:

Monday through Friday, 8:30 a.m. to 5:00 p.m., with slight variation based on workload and events. Standing, lifting, and some moderate physical requirements (capacity to lift 50 lbs.) are required, as is a personal car, a valid driver's license, and insurance, due to the demand for occasional local travel. This is a full-time employment situated in Bozeman, Montana.
